Academic and Faculty Affairs Manager
The Academic and Faculty Affairs Manager fulfills the academic staff needs for the Department of Performing Arts, a complex and multi-faceted department that includes both the Music and Theater & Performance Studies degree programs and the Dance and Public Speaking non-degree programs, as well as extensive public-facing artistic work tied to the academic programs. The Academic and Faculty Affairs Manager has duties that include but are not limited to:
- Coordinates course scheduling in collaboration with the Department Chair and Program Directors; and submits and tracks all courses with Registrar
- Maintains faculty records and supports the Chair on faculty matters to include administration and preparation of tenure and promotion cases; departmental searches; faculty meeting agendas and minutes; departmental bylaws and procedures, merit processes, NTL and adjunct hires; classroom assignments; faculty grant support
- Maintains records for courses and academic programs (syllabi); oversees the departmental Canvas page, schedules and administers majors and minors meetings; works with students, DUS and Deans on transcript and credit issues
- Manages the DPA administrative office in the Davis Performing Arts Center (including tracking and purchasing of supplies, support for faculty on printing, mailing and other academic needs), including oversight and management of the large student administrative staff, (manages schedules, serves as GMS timekeeper, manages and assigns projects including departmental social media)
- Coordinates communication with academic partners around collaborations, cross-promotion of research and curricular events, co-sponsorships, cross-listing of courses including working collaboratively with DPA’s interdisciplinary initiatives tied to the Department’s academic mission (such as The Lab for Global Performance & Politics, Georgetown Humanities Initiative, the Racial Justice Institute, Georgetown Environment Initiative etc.)
- Coordinates scheduling and communications around regular DPA meetings, including minutes - such as monthly faculty meetings and majors and minors’ meetings, weekly staff meetings, etc.
- Stewards communication to faculty, students, prospective students – for example, supplemental application materials and GAAP/campus visits
- Provides administrative support on academic matters to Chair and Program Directors, as well as for academic/ interdisciplinary initiatives; Provides Admin support to all faculty
Work Interactions
Reporting directly to the Chair and General Manager to support the academic and administrative needs of the DPA, the Academic and Faculty Affairs Manager works directly with the Directors of Music and Theater & Performance Studies to coordinate the academic needs of each respective program’s degrees. They keep a pulse on curricular, staff, and faculty research needs and, as such, interfaces with DPA’s Chair and General Manager - responsible for overseeing DPA rehearsal/performance spaces and schedules and with payroll and budget administration, including for the Davis Center - to effectively manage the administrative needs of the unit.
They work closely with degree students - and prospective students - across multiple programs, tracking students’ degree process and interacting frequently with Program Directors, Chair and various Deans on academic matters. They hire, train and serve as timekeeper for student workers in the administrative hub, which requires a supervisory GMS role; and procure office supplies and equipment, and arrange travel/catering as needed.
The Academic and Faculty Affairs Manager’s work occasionally falls outside standard business hours, involving more intensive focus and more complex and varied interactions than in most academic units with a wide range of stakeholders, including administrators and faculty from across the University, alumni, and the wider public given the large number of public performances, special events, and receptions each semester.
